Welcome to the VMX eCommerce training video. In this session, we'll cover essential tasks for managing your eCommerce site.

To control the visibility of items on your website, head to the item page. Look for the Website tab, and if you see a globe icon on this tab, it means the item is visible to online customers. In this tab, you can edit product information like name, variety, size, and description. VMX automatically uses your POS descriptions, but you can customize them for the website by overwriting them in the web description fields.

You can also specify whether the item should be displayed online, its order in comparison to other items, its availability for online purchase, its pre-order status, and the maximum pre-order quantity.

To set the visibility of entire departments, sub-departments, or collections online, simply toggle the "Web is Visible" setting under Inventory and Departments.

To add an item to a department, sub-department, collection, or item in VMX, or on your website, begin by uploading the image to VMX. Click the "More" tab in the top header, select "Attachments", and select "+ Attachment". Then specify the attachment type in the drop-down to indicate where the image should appear. Next, search for the entity you want to associate with the image. Check "Show on Web" and save the attachment. If you want to use the same image for both the department image and an item image, you will need to add it as an attachment twice.

If you encounter issues viewing the image online after saving the attachment, double-check the attachment type and entity association. If the problem persists, try holding down the Shift key while clicking refresh or reach out to our support team.

Now let's dive into importing and processing web orders.

When an order is placed on your website, a notification will appear at the top of your Register screen. Click the small arrow drop-down and choose "Import Web Order". After selecting the desired order for import, VMX will add the items, customer information, and order notes to the Register page. VMX will also match the customer with an existing profile if possible based on the email and phone number from the web order.

Once you've reviewed the details, process the order by selecting "Other Tender" and then "Credit Card Web." The customer was charged when they placed an order online, but this step records the order in VMX and changes its status from "Ordered" to "Rung Up."

Next, let's take a look at the "All Orders" tab on your eCommerce site. This page is organized by color-coded sections based on the order status: Ordered, Rung Up, Tagging, Tagged, and Complete. Each line provides order details including order number, customer information, notes, pickup details, order total, and payment method. You can change an order status by selecting the drop-down menu and choosing the appropriate option.

Add admin notes during order fulfillment, and for a detailed order view, select the order number.

If you're fulfilling multiple orders simultaneously, generate a pick ticket based on the orders that you're handling. For instance, select "Pick Ticket" and choose "Tagging" to list items and quantities for tagging orders.

You can also easily print receipts for multiple orders by selecting the "Print Receipts" option and choosing the desired group.

In the Item Images section, quickly identify items displayed online that lack images. Click on the number with or without pictures to view the list.

In the Coupon section, you'll find existing website coupons. These are managed separately from your point-of-sale coupons and promotions. To add a new coupon, click the "+ Coupon" button and provide the required information.

In this example of a 50% off Roses coupon, the coupon represents a sale on all items in the Rose department from date to date. The coupon functionality on the eCommerce site resembles the POS Promotions feature with three additional fields:

  • The "Auto Apply" checkbox determines if the coupon is automatically applied or if customers need to enter a code at checkout.

  • The "Match Type" checkbox specifies whether the coupon applies to all eligible items or just the single highest-priced eligible item.

  • The "Match Gift Cards" checkbox indicates whether the coupon is valid for gift card purchases.
